Who we are

This website is run by Quantara Digital Ltd, a company registered in England and Wales (company number 17220029), registered office 2 Howard Close, Luton, LU3 2PG. We are the controller of the personal information described in this policy.

For anything about your data, email [email protected] or call 07565 727032. You will deal directly with the founder, Shane Bell.

What we collect

We only collect what you give us or what is needed to run the site safely:

  • Enquiries. When you use the contact form: your name, business name, email address, phone number if given, industry, the service or plan you are interested in, project stage and your message, plus the page you sent it from.
  • Chat assistant. The messages you type into the chat assistant. If you choose to leave your details at the end of a chat, we also keep your name, contact details and a copy of that conversation as an enquiry.
  • How you found us. On your first visit we note the page you landed on, the website that referred you and any campaign tags in the link. This is stored against an enquiry only as marketing statistics, without your name or contact details.
  • Visit statistics. Anonymous, aggregated figures such as page views and countries, collected without cookies.
  • Technical logs. Your IP address, browser and the pages requested, recorded briefly by our hosting and security providers to keep the site working and protect it from abuse.

How we use it, and our lawful basis

  • Replying to your enquiry and preparing a quote. Because you asked us to, as a step before entering into a contract, and in our legitimate interest in answering people who contact us.
  • An automatic acknowledgement and follow up. When you send an enquiry you get an instant reply. If we have not yet responded after a few days, you may get one short check in email about that enquiry. This is in our legitimate interest in not letting your enquiry go unanswered. Reply and ask us to stop and we will.
  • Delivering work you buy from us. To perform our contract with you.
  • Keeping accounting and tax records. To meet our legal obligations.
  • Understanding which pages bring in enquiries, and keeping the site secure. In our legitimate interests in running and improving the business.

We do not sell your personal information, use it for advertising, or add you to a mailing list without asking.

How we use AI

Two features on this site use an AI model provided by Moonshot AI: the instant acknowledgement sent when you submit an enquiry, and the chat assistant. To produce a reply, the text of your enquiry or chat message is sent to Moonshot AI and the answer is returned to you.

The AI does not make decisions about you. It drafts a reply or answers a question; any quote, advice or decision comes from a person. Messages you type into the chat assistant are not stored by us unless you choose to leave your details. Please do not include sensitive personal information in chat messages.

Who we share it with

We use a small number of providers who process data on our behalf, under contract and only to provide their service to us:

  • Cloudflare, for content delivery, security and cookieless visit statistics.
  • Resend, to send emails from the website, such as enquiry acknowledgements.
  • Moonshot AI, for the AI features described above.
  • Our cloud hosting provider, which runs the servers and database behind the site.
  • Our business email provider, where enquiries arrive in our inbox.

We may also share information if the law requires it, or with professional advisers such as our accountant.

Transfers outside the UK

Some of these providers process data outside the UK, including in the United States and, for Moonshot AI, in other countries. Where personal information leaves the UK, we rely on the safeguards UK data protection law requires, such as adequacy regulations or the ICO approved International Data Transfer Agreement or Addendum. You can ask us for details.

How long we keep it

  • Enquiries that do not turn into work are deleted automatically 24 months after they were sent.
  • Client records, including contracts and invoices, are kept for six years after our work together ends, as UK tax law requires.
  • Chat messages are not kept by us unless you leave your details, in which case they are kept as an enquiry.
  • Technical logs are kept by our hosting and security providers for short periods, usually days or weeks.

Cookies

This site does not use advertising or tracking cookies, and our visit statistics work without cookies, so there is no cookie banner. We use a small number of essential cookies:

  • A session cookie, which keeps forms working as you move between pages.
  • XSRF-TOKEN, a security cookie that protects forms from being submitted by other websites.
  • appearance, which remembers a light or dark display preference if you set one.

Security providers such as Cloudflare may set their own essential cookies to tell people and automated bots apart.

Your rights

Under UK data protection law you can ask to see the personal information we hold about you, have it corrected or deleted, restrict or object to how we use it, and receive a copy in a portable format. Email [email protected] and we will respond within one month.

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Websites we build for clients

Some websites we build send their enquiries through our systems. For those, the business that owns the website is responsible for its visitors' data and we process it on their behalf. Their own privacy policy explains how they use it.

Changes to this policy

We update this policy whenever we change what the site collects or who helps us run it. The date at the top shows when it last changed.
